Suits

  • Small shops, studios or storerooms that track stock in a spreadsheet today
  • Teams where more than one person updates stock

Result

Define the items, roles, stock movements and warnings so an AI assistant can build a first inventory dashboard that keeps a history of every change.

Example outcome — a role and permission table, the item and stock-movement records, the dashboard screens (overview, item detail, record a delivery, warnings) and a first-version scope. This is an example plan, not a live inventory system.

Steps

  1. List the fields each item needs, such as name, code, location and minimum level.
  2. Record every change as a movement — delivery, sale, adjustment — instead of overwriting the count.
  3. Write the role table: who may view, record and adjust, and who may delete.
  4. Design the overview around what needs attention today, such as low stock.
  5. Ask the assistant for a first version, load a small sample of real items, and compare the totals with a manual count.

Checks

  • Every stock change is recorded with who made it and when.
  • Low-stock warnings follow the agreed rule.
  • Staff cannot perform actions their role does not allow.
  • Totals match a manual count of the sample items.

Limits

  • It does not connect to a point-of-sale system or to supplier ordering.
  • Moving your existing spreadsheet history into the new system is a separate task.
  • This is planning guidance: it does not build, publish, send, or run anything.
Before you start
  • A current item list you can export or type in
  • Agreement on who is allowed to adjust stock counts
Permissions
  • None. This template does not request filesystem, network, shell, secret, or account access.
