Suits

  • Small businesses that take orders through several channels and lose track of some
  • Teams where orders pass between sales, packing and delivery

Result

Define the order statuses, who moves an order between them and what is recorded at each step, so an AI assistant can build a first internal order tracker.

Example outcome — a status flow with who may move each step, the order record fields, the list and detail screens, and the problems each screen makes visible. This is an example plan, not a running order system.

Steps

  1. Write the statuses in order and the rule for moving from each one to the next.
  2. List the fields an order needs, and mark which ones contain personal data.
  3. Assign each status to a role, and decide who may cancel or edit an order.
  4. Design an "orders needing attention" view for stuck or late orders.
  5. Ask the assistant for a first version, then walk ten sample orders through every status.

Checks

  • Every order shows its current status and who is responsible for it.
  • A status can only change in the allowed order, and each change is recorded.
  • Stuck or late orders appear in one view.
  • Customer details are visible only to the roles that need them.

Limits

  • It does not import orders automatically from other channels.
  • Invoicing, payments and shipping labels are not part of this plan.
  • This is planning guidance: it does not build, publish, send, or run anything.
Before you start
  • A description of how orders are handled today, even an informal one
  • A decision on how long customer details are kept
Permissions
  • None. This template does not request filesystem, network, shell, secret, or account access.
