Form-to-spreadsheet automation

Plan an automation that copies each new form response into a spreadsheet, tidies it and notifies the right person.

Suits

  • Teams that copy form answers into a spreadsheet by hand
  • Organisers collecting registrations, requests or feedback

Result

Define the form, the target sheet, the cleaning rules and the notification so an AI assistant can build a flow that files every response once and flags anything it cannot handle.

Example outcome — a question-to-column map, the cleaning rules, a duplicate check, the notification rule, and an error sheet for responses that could not be filed. This is an example plan, not a running automation.

Steps

  1. Map every form question to one spreadsheet column, and name the columns clearly.
  2. Write the cleaning rules and test them on three messy example answers.
  3. Decide how duplicates are detected and what happens to them.
  4. Send responses that fail a rule to a separate error sheet instead of dropping them.
  5. Ask the assistant for a first version, submit five test responses, and check each row.

Checks

  • Each response appears exactly once, in the right columns.
  • Cleaned values follow the agreed formats.
  • A response that fails a rule lands in the error sheet instead of disappearing.
  • Only the agreed people can open the spreadsheet.

Limits

  • Changing a form question later can break the column map; re-test after every edit.
  • Form answers may contain personal data; restrict who can open the sheet.
  • This is planning guidance: it does not build, publish, send, or run anything.
Before you start
  • Edit access to the form and the spreadsheet, granted through their own settings
  • A privacy notice on the form that says where answers are stored
Permissions
  • None. This template does not request filesystem, network, shell, secret, or account access.
