Suits

  • Freelancers and small businesses who chase late payments by hand
  • Anyone who loses track of which invoices are overdue

Result

Define where invoices are tracked, when a reminder is due, the wording and the approval step, so an AI assistant can build a reminder flow that never contacts a client without your approval.

Example outcome — the rule that decides when an invoice is overdue, two reminder message templates, the approval step, and a log of what was sent. This is an example plan, not a running automation.

Steps

  1. Make sure every row of the invoice list has a reliable due date and paid status.
  2. Write the overdue rule and the reminder schedule, including when to stop.
  3. Draft the reminder messages with placeholders for invoice number, amount and due date.
  4. Require your approval before each reminder is sent, and log every one that is.
  5. Ask the assistant for a first version, test it on invoices addressed to yourself, and check the log.

Checks

  • Only invoices that are unpaid and past due are selected.
  • No reminder is sent without your approval.
  • No client receives more than the agreed number of reminders.
  • Every sent reminder is logged with its date and invoice number.

Limits

  • A reminder for an invoice that was already paid damages trust; the plan depends on your list being current.
  • Rules on collecting payments differ by place; this template is not legal advice.
  • This is planning guidance: it does not build, publish, send, or run anything.
Before you start
  • An invoice list you keep up to date
  • An email account you are allowed to send from, connected through its own settings
