Suits

  • Teams whose meetings end without clear next steps
  • People who take notes for a group and want a repeatable format

Result

Produce a short standard operating procedure and a notes template that make decisions and action items easy to find after any meeting.

Example outcome — a one-page SOP (before, during and after the meeting), a notes template, rules for recording decisions and action items, and a sharing rule. This is an example SOP, not notes from a real meeting.

Steps

  1. Decide who takes notes and how the role rotates.
  2. Write the notes template: attendees, decisions, action items with owner and due date, open questions.
  3. Set the sharing rule: where the notes go and within how many hours.
  4. Start each meeting by checking the previous meeting's action items.
  5. Ask the assistant to tidy the SOP into a one-page checklist, then try it for three meetings and adjust.

Checks

  • Every set of notes lists decisions separately from discussion.
  • Each action item has one owner and a due date.
  • Notes are shared within the agreed time.
  • The next meeting starts by reviewing open action items.

Limits

  • If you record or transcribe a meeting, everyone present must know and agree; check the rules that apply to you.
  • Notes can contain confidential or personal information; keep them somewhere with restricted access.
  • This is planning guidance: it does not build, publish, send, or run anything.
Before you start
  • Agreement from the team to try one format
  • A shared place for notes with the right access
Permissions
  • None. This template does not request filesystem, network, shell, secret, or account access.
